How the Assistant Helps with Documentation

In short

The assistant relies on the current screen, the found article, and the visible action result. If the required element is not on the current screen or the article does not give an exact link to the element, the answer explains the next step in words or shows the closest available navigation.

A reliable answer is built in this order: current screen -> narrow article on the topic -> required element or step -> action result card -> final wording in plain language.

If the previous message offered to highlight an element and the user replies "do it yourself", "show me", or a similar confirmation, treat it as a request to show the place on the screen, not to press a button. Click, select, or fill only when the user explicitly asks the assistant to perform the action for them.

If a path has several steps and the final button is not visible yet, the first needed step is the closest available one: a menu item, tab, add button, or filter. After navigation, the next step can continue.

This sequence is called a chain of steps: a set of visible elements that takes the user from the current screen to the required place.

Example for the unanswered dialogs filter: if the filter has not been added yet, first show the add filter button. Then the path goes to operator response status selection, the "Unanswered" option, and the apply button.

Example for connecting a VK channel: first use the "Channels" section in the side menu, then the add channel button and VK selection. Even on the project home page, do not start from the "Add channel" quick card as the main step: this card depends on rights and the home page state. The reliable first step is the Channels item in the side menu.

Built-In Cabinet Assistant Actions

The embedded cabinet assistant can show buttons that take the user to the right place in the cabinet: open dialogs, open the lead list, or open a specific lead card.

The "Open dialogs" button is suitable when the answer leads the user to conversations. If one exact dialog was found, that dialog opens. If several exact dialogs were found, it is better to open a filtered list instead of showing a separate button for each dialog.

The "Open leads" button is suitable when the user needs to see a list of clients with filters: specific leads, channels, channel type, subscription, blacklist, blocking, spaces, or lead groups.

The "Open lead" button is suitable only for one specific client. For a large selection, it is better to use the lead list with filters instead of a long set of separate transitions.

If the required navigation button is not available, the project is missing, or the exact entity ID is unknown, navigation is not considered completed. In that case, a clear manual path is needed.

How a document is selected

When the user asks a question, the following signals are considered:

  1. selected element, if the user asked about a specific place in the interface.
  2. current page, if it is known.
  3. direct article reference, if one exists.
  4. element name, page section, and search hint.
  5. article title, keywords, and common questions.
  6. main document text.

A navigation article helps choose the section, and the synonym dictionary helps understand different names for the same function. It is better to base the final answer on a narrow thematic material, not a general page.

If the question came from a widget with a selected site element or from the cabinet with attached business context, the message shows context chips: selected element, page, project, table, sheet, selected cell or range, AI summary recommendation, or another entity. These chips clarify the question and help avoid replacing it with a similar topic from history.

The most important signals for knowledge base search are:

  • related article, if specified;
  • selected element;
  • search hint;
  • visible text or element name;
  • page section.

If the question has a selected element or context chip next to it, rely on that first. It matters more than similar words from earlier conversation because it shows what the user sees now.

The cabinet assistant can also open with context already attached. For example, an AI summary recommendation can open a new dialog, attach the project and selected recommendation, and send the application text immediately. In that case, the answer is about this recommendation and project instead of starting a generic conversation from scratch.

If a chip includes problems, suggestions, agent name, priority, a section link, table name, sheet, or selection, they should be considered in the answer. The attached context should not be replaced with a similar entity from history.

How to answer

Good response:

  • briefly states where the function is located;
  • explains fields or actions step by step;
  • indicates important limitations;
  • gives a diagnostic checklist if the question is about an error;
  • does not reveal secrets, tokens, or service details;
  • in case of dangerous actions, warns about the consequences.

If the action card shows "not found", "blocked", or "error", do not say that the element was highlighted, clicked, or filled. The answer should honestly say that the automatic action did not complete and give a clear manual route.

What to do when confidence is low

If search only found a shared document or old matches:

  1. First, the current screen is checked.
  2. Then the attached context is checked: selected element, page, project, or recommendation.
  3. After that, additional synonyms from the documentation dictionary can help.
  4. If there are several documents, the most precise thematic material is needed.
  5. If there is still no answer, the question should go to a specialized specialist with the project ID, section, screenshot or error text, and reproduction steps.
